Privacy Policy — ScanPiper
ScanPiper ("we", "our", "us") provides document processing and routing services. This Privacy Policy explains what information we collect, how we use it, when we share it, and the rights you have with respect to your personal information.
1. Overview
We are committed to protecting the privacy of our users and customers. This policy applies to information collected when you use our website, submit documents for processing, register for an account, or interact with our services.
2. Information We Collect
- Account information: name, email address, company, billing details and other contact information you provide when creating an account.
- Uploaded documents and extracted data: files you upload for processing and the data extracted from those files (e.g., text, metadata, structured fields). Note: content extracted from uploaded documents is processed to deliver the service and is treated as data under this policy.
- Usage and diagnostic data: logs, performance metrics, IP address, browser and device information, and actions taken in the application to help operate, secure, and improve our service.
- Cookies and similar technologies: small identifiers used to support sessions, preferences, and analytics.
3. How We Use Information
We use collected information to:
- Provide, maintain, and improve the ScanPiper service.
- Process and analyze documents you upload to extract and route data.
- Communicate with you, including transactional messages, support, and important policy updates.
- Detect, prevent, and respond to security incidents and abuse.
- Comply with legal obligations and enforce our terms of service.
4. Sharing and Disclosure
We do not sell personal data. We may share information in limited circumstances:
- With service providers and subprocessors who perform services on our behalf (hosting, analytics, email delivery). We require them to protect data and only use it for permitted purposes.
- With other customers or systems when you explicitly configure integrations or share processed results (for example, sending routed documents to your accounting system).
- To comply with law, legal process, or to protect the rights, property or safety of ScanPiper, our users, or the public.
- In connection with a merger, acquisition, or sale of assets; in such cases, we will notify affected users where required by law.
5. Cookies and Tracking
We use cookies and similar technologies for sessions, security, and analytics. You can control cookie preferences through your browser; disabling some cookies may limit functionality.
6. Security
We implement reasonable administrative, technical, and physical safeguards designed to protect personal information. No system is completely secure; however, we continually review and enhance our security measures.
7. Data Retention
We retain personal data only for as long as necessary to provide the service, comply with legal obligations, resolve disputes, and enforce our agreements. You can request deletion of your account and associated data; some information may remain in backups or logs for a limited period as required for operational or legal reasons.
8. Your Rights
Depending on your jurisdiction, you may have rights such as access, correction, deletion, export, and portability of your personal data, as well as the right to object to certain processing. To exercise your rights, contact us using the details below. We will verify requests as required by law.
9. Children
Our services are not directed to children under 13 (or under the minimum age in your jurisdiction). We do not knowingly collect personal information from children. If we learn we have collected personal information of a child, we will take steps to delete it.
10. Third‑Party Services and Links
Our service may include links to third‑party websites and integrations. Those services have their own privacy policies and practices. We are not responsible for third‑party privacy practices.
11. International Transfers
ScanPiper is a global service. Data we collect may be stored and processed in multiple countries. Where transfers outside your jurisdiction occur, we use appropriate safeguards required by applicable law.
12. Changes to This Policy
We may update this Privacy Policy from time to time. If changes are material, we will notify users by posting a prominent notice or sending an email. The "Last updated" date at the top reflects the most recent revision.
13. Google User Data
ScanPiper integrates with Google Drive to allow users to upload documents for processing. When you connect your Google account, we access your Google Drive files as authorized by you through OAuth. We use this access solely to retrieve and process the documents you select for our service.
The data accessed includes file metadata and content of selected files. This data is used to extract information and route documents as per your configurations.
We store this data securely and can be removed by easily from inside the app. We do not share Google user data with third parties except as necessary for service provision (e.g., with our subprocessors) and in compliance with this policy.
You can revoke access at any time through your Google account settings.
